What it does

A dealer CRM tracks every shopper and customer from first contact to sale and beyond. It collects leads from the website, marketplaces and phone, assigns them to staff, and sets follow-up tasks. It also stores customer history so the team can reach owners for service, trade cycles and equity offers.

Day to day, the CRM is where salespeople and the BDC spend their time. Managers use it to see who is working which deal and how the team handles response time and appointments. A CRM is only as good as the habits around it. Adoption by the floor matters more than a long feature list.

Look closely at the mobile app, since salespeople work from the lot and the service drive. Also check how the CRM handles shared customers across rooftops in a group. Duplicate records and unclear ownership cause friction between stores.

Who in the store uses it

  • Salespeople: log contacts, work tasks and send texts and emails.
  • BDC agents: respond to new leads, set appointments and confirm them.
  • Sales managers: assign leads, review activity and manage the showroom log.
  • Internet manager: sets lead routing and response templates.
  • Service and marketing staff: pull owner lists for campaigns.
  • General manager: reviews closing rates and staff performance.

What to ask vendors

  • How often does customer and sales data sync with our DMS, and in which direction?
  • Is the CRM certified in our OEM's lead program?
  • Can we export all customers, notes and activity if we leave?
  • How are texting consent and opt-outs handled?
  • What do managers see on a phone versus a desktop?
  • What reports come standard, and can we build our own?
  • How long does setup take, and what training is included?
  • What is the contract term, and what does each extra rooftop cost?

Signs it's time to switch

  • Salespeople keep notes on paper or in their own phones.
  • Lead routing errors leave shoppers without a reply.
  • DMS sync gaps create duplicate customers.
  • Managers can't trust the reports enough to coach from them.
  • Adding a rooftop or brand is slow and costly.
